Here at Traverse City Whiskey Co., "The Whiskey of the North", we are a fast growing, distillery based in northern Michigan. We distribute numerous whiskey expressions across 30 states and cocktail ingredients, including Premium Cocktail Cherries, Simple Syrup and a full line-up of cocktail mixers (under the Cocktail Crate brand), nationwide. We are currently seeking an Executive Assistant to support our CEO and help bring focus, structure, and momentum to our fast-paced leadership environment.
Job Description
We’re seeking a highly motivated and intuitive Executive Assistant to serve as a trusted partner and strategic right hand to our CEO. This is far more than an administrative support role — it’s a force-multiplier position that will directly impact the CEO’s effectiveness and the company’s overall performance. The ideal candidate is uncommonly-organized, thoughtful, people-savvy, and solutions-oriented, with the ability to manage priorities, create structure amidst fast-moving projects, and bring calm to chaos. This role demands a high degree of discretion, proactive thinking, and the ability to lead through influence — someone who thrives at the intersection of strategy and execution.
Responsibilities
- Manage and proactively guard the CEO’s calendar, inbox, and priorities to ensure time is spent on what matters most.
- Act as a gatekeeper and sounding board, anticipating needs and protecting the CEO from distractions.
- Track and organize key projects, meetings, and cross-functional initiatives to ensure follow-through and accountability.
- Prepare, edit, and manage high-level communications (emails, decks, memos) on behalf of the CEO.
- Attend and document meetings as needed, identifying action items and ensuring progress.
- Coordinate internal and external meetings, events, and travel arrangements with precision and professionalism.
- Build strong relationships across all levels of the organization and represent the CEO with warmth and confidence.
- Identify inefficiencies or gaps and recommend process improvements to help the executive function at their highest level.
- Serve as a trusted liaison between the CEO and team members, clients, partners, and stakeholders.
- Maintain confidentiality and handle sensitive information with the utmost integrity.
Qualifications
- 5+ years of experience in an executive support role or similar high-trust position
- Proven ability to manage shifting priorities, deadlines, and complex schedules in a fast-paced environment
- Exceptional written and verbal communication skills
- Strong and experienced organizational and project management skills with a proactive, resourceful mindset
- Ability to think several steps ahead and problem-solve independently
- High emotional intelligence and the ability to build trust quickly with a wide range of personalities
- Tech-savvy, with proficiency in tools like Google Workspace
- Discretion, integrity, and professionalism in handling sensitive or confidential matters
- Experience in a startup or high-growth company is a plus
Education
- Bachelor’s degree preferred but not required; equivalent experience or proven success in a similar role will also be considered
